Benefits of vendors listed above:
Reservations of the Venue are taken on a first-come, first-served basis. To reserve the date requested, Camp Red Cedar requires an executed copy of this Agreement along with a non-refundable initial payment of 20% of the total rental cost.
A second payment of fifty percent (50%) of the balance is due six months prior to the event date. Payment of the remaining balance of the rental fee is due sixty (60) days in advance of the event.
Damage/Excessive Cleanup Deposit
In addition to the Venue rental deposit, a damage/excessive cleanup deposit is required in the amount of $500.00 and is due at the same time as the final payment. Camp Red Cedar reserves the right to use any or all of the damage deposit toward any of the Customer’s obligations under this contract or any claims that Camp Red Cedar may have for extraordinary cleanup, damages to or destruction of any property located in, on, or around the premises belonging to Camp Red Cedar as a result of Customer’s use of the premises or in any way relating to the event. If extra labor and/or cleanup is required as a result of Customer’s use of Camp Red Cedar’s Venue, Customer agrees to pay for such items at the below agreed upon rates:
The remaining balance, if any, of Customer’s damage and excessive cleanup deposit will be refunded by Camp Red Cedar to Customer within 14 days following the event or within 14 days following completion of repairs and/or cleanup, whichever is later.
Deposits and payments will be made by cash or personal check (made payable to Camp Red Cedar) on the schedule noted below. Customer may have the option to pay via credit card with the understanding that a 4% convenience fee will be charged. A receipt from Camp Red Cedar will be provided for each payment made by Customer.
CANCELLATION POLICY. In the event Customer cancels the event, Customer shall notify Camp Red Cedar immediately in writing or by email. Once cancelled, the Customer shall be responsible for agreed liquidated damages, which the parties further agree are reasonable. The agreed upon reasonable liquidated damages are as follows:
DATE CHANGES. If Customer requests to change the date of the event for any reason, it shall be within Camp Red Cedar’s sole discretion to transfer the reservation to the requested date. The Customer agrees that in the event of a date change, any expenses, including but not limited to deposits and fees that are non-refundable and non-transferable, are the sole responsibility of Customer. The Customer further understands that last minute changes may impact certain aspects of Customer’s event, and Customer agrees that Camp Red Cedar is not responsible for any negative impacts as a result of Customer’s last minute changes.
SECURITY.Customer shall be responsible for hiring two (2) uniformed police officers to remain at the Venue during the event. The officer must be present ½ hour before the event begins and is required to stay until the last person leaves the Venue and grounds.
It is solely Customer’s responsibility to contact, hire, and pay for the presence of the officers. Customer must provide Camp Red Cedar with proof of hiring police officers as well as contact information for the event no later than one (1) week before the event. This proof may be a written confirmation via email.
SITE VENDORS. Customer may hire only vendors identified as Approved Vendors from the list of Approved Vendors provided by Camp Red Cedar. Customer is responsible for the set-up, break-down, and clean-up of the catered site regardless of whether such responsibility is delegated to an Approved Vendor. All event trash must be disposed of in the designated areas at the conclusion of the event and removed offsite by a responsible Approved Vendor. All Approved Vendors must adhere to the terms of our guidelines of this Agreement and Appendix A.
CATERING AND ALCOHOLIC BEVERAGES. It is understood and agreed that Customer shall serve beverages containing alcohol only if such beverages are provided and served by an Approved Vendor from the list of Approved Vendors provided by Camp Red Cedar (including but not limited to beer, wine, champagne, mixed-drinks with liquor, etc.) who maintain the proper licenses and insurance to provide such alcoholic beverage service. Vendor must have on file in office that has a Certificate of Insurance, as well as a copy of their Retail Merchant’s Certificate. Camp Red Cedar has adopted the following Alcohol and Catering policy and it is stringently enforced. No deviations will be allowed.
Customers are prohibited from providing their own alcohol at events held at Camp Red Cedar. Camp Red Cedar will not pick-up or sell any alcoholic beverages. Any Customer wishing to serve alcohol at events held at Camp Red Cedar must contract with an Approved Vendor that has a “Catering License” as issued by the Indiana Alcoholic Beverage Commission. This business must have their employee serve the alcohol and are responsible for ensuring adherence to all Indiana State laws regarding alcohol service are adhered to.
Customer must abide by the following rules:
CAMP RED CEDAR’S GUIDELINES
BEHAVIORAL CONDUCT. Camp Red Cedar reserves the right to request any person or group of people acting unruly, or harmful to themselves or others, to leave the premises. Assistance from the on-site police officer(s) may be required if this request is not met immediately.
The following is a list of rules and regulations to be upheld by the Customer, which includes all event planners, wedding coordinators, and vendors who are involved in the planning and execution of a special event or wedding on the premises of Camp Red Cedar;
PARKING. Guests are allowed to park in the two parking lots provided with handicapped accessible areas. Parking available for up to 200 guests. Parking attendant may be required for large events. Overflow parking must be pre-approved with Camp Red Cedar prior to event date.
CANDLES. The use of any type of flame is strictly prohibited within the Venue and throughout the premises. A flameless candle, which is battery operated, is permitted. This is non-negotiable.
CHILDREN. Please ensure all children under the age of 16 years old must be properly supervised while on the premises. This includes preventing children from disturbing nature (including but not limited to plants, rocks, trees, etc.), as we must preserve the natural habitat of our premises for our programs and camps for kids and adults of all ability levels.
DECORATIONS. Customer shall not place any nails, hooks, tacks, push pins, screws, tape, gummed backing or other fasteners into any part of the Venue or place or permit to be placed signs on walls in any part of the Venue. No decorations such as posters, pictures, or banners, are to be fastened to walls, woodwork, windows inside or outside the Venue. Decorations may not be hung from light fixtures or ceiling. In addition, the use of helium balloons and glitter are prohibited. All decorations must be removed without leaving damage.
EVENT ENDING TIME. All events must end by 11:00 p.m. in order to allow for clean-up and closure of the site by 11:59 p.m. Additional late fee of $500 may be applied if end time exceeds event rental time.
FAREWELL CEREMONY. To protect our wildlife, the use of rice, glitter, birdseed, pyrotechnics or confetti is not permitted for any farewell ceremony at the end of a wedding ceremony held at the Venue. .
MUSIC AND ENTERTAINMENT. Although music (both live and recorded) is permitted at the Venue, all music must be contained at an acceptable sound level so as not to disturb the local surrounding area. Camp Red Cedar, in its sole discretion, reserves the right to require Customer to cease the music it deems inappropriate. Camp Red Cedar also reserves the right to require Customer to lower the sound level or cease playing music, in its sole discretion.
PETS. No pets are allowed on the premises. However, a family pet actually involved in an event will be considered. Customer is required to obtain permission from Camp Red Cedar before a pet may be permitted on the premises.
PHOTOGRAPHY. The many natural settings around Camp Red Cedar are important to other events held on the premises, including our summer camps for our programs and camps for kids and adults of all ability levels. Camp Red Cedar reserves the right to allow or disallow Customer from using any area of the premises for wedding/reception photograph sessions. Camp Red Cedar also reserves the right to use any photographs or other media reproductions of an event in our publicity and advertising materials. Use of grounds outside of Venue area must be pre-approved and coordinated with Camp Red Cedar prior to use.
SECURITY. Two (2) uniformed police officers must be hired for all events over 100 guests. This requirement is non-negotiable. It is Customer’s sole responsibility to hire the police officers.
SIGNAGE. You may post your event’s sign or hang balloons at the front entrance to Camp Red Cedar, but please do not attach anything to or cover up our entrance sign. Please also avoid placing nails or screws in the trees.
SMOKING. Camp Red Cedar is a smoke free campus. No smoking is within the Venue or any place on the Camp Red Cedar campus.
VENUE SPACE CHANGES. Any rearranging or movement of the Venue’s contents or furniture must be pre-approved by Camp Red Cedar. It is the Customer’s responsibility to restore all areas to their original appearance.

Any Renter wishing to serve alcohol at events held at Camp Red Cedar must contract with a business that has a “Catering License” as issued by the Indiana Alcoholic Beverage Commission. This business must have their employee serve the alcohol and are responsible for ensuring adherence to all Indiana State laws regarding alcohol service are adhered to.
Renter must abide by the following rules:
a) Renter shall take full responsibility for and hold Camp Red Cedar harmless from ALL liability arising from the serving and consumption of alcoholic beverages
b) If caterers are to serve or provide a bartender to serve alcoholic beverages, the caterer shall provide to Camp Red Cedar a certificate of insurance evidencing a Liquor Liability Policy at least seven days prior to Event Date.
c)Renters, at their own expense, must have an off-duty law enforcement officer providing security during any event at which alcohol is served. The officer must be present ½ hour before the Event begins and is required to stay until the last person leaves the Facilities and grounds.
d)If Renter or any Event participant violates any of these terms regarding alcoholic beverages, Camp Red Cedar will immediately terminate the event with no refund and impose an additional fee of $500.00.
